1. Why does the programming language make a difference?

The programming language is the software developer's tool kit. Some programming languages are more full featured and flexible than others. The programming language will affect:

  • The navigational pathways (how easy it is to enter and retrieve data),
  • The ability to integrate the application with other software currently being used, and
  • The long-range stability of the application (will the programming lanuage still be used several years from now? How many of us remember VisiCalc or Clipper?)

Tokay Software applications are developed with a powerful Microsoft programming language for good reason. Like it or not, Microsoft is the giant in the industry. They will be here throughout our lifetimes. Microsoft programming tools enable the Tokay Software Engineers to develop an application that is the most flexible and comprehensive in the industry. The tool bars and icons duplicate all standard Microsoft applications and, as these are the applications that most of us use, the learning curve is short. Software is intuitive when it is familiar.

2. How does the interface make a difference?

The interface is the software's front end, the part of the program the user interacts with. These include the data entry screens you work with on a daily basis. The interface is the look and feel of the software and if the look and feel matches most of the software applications you are accustomed to using, you will learn to use the software more quickly. The interface ultimately determines the usability of the software.

4. How are letters and notices generated?

Tokay Software merges seamlessly with Microsoft word, so you may create MS Word templates and generate customized letters for each contact in the group with a single click. Most PC users are MS Word users, helping you generate good-looking, informative communication easily. For users who are looking for a simpler letter sending solution, we include a Tokay Word Processor that will keep the notification process straightforward and fast.

Every record has four addresses: the site/facility address and three alternative mailing addresses (management company, plumber, owner, etc.) Letters can automatically be routed to any address. Letters can also be generated for more than one address. Your goal is ease; our goal is flexibility. Both are accomplished.

6. How are the records located?

Finding records is easy. All records are listed to the screen and you can find your record by any lookup criteria - address, company, account number, serial number, etc. With one quick click you are on the main screen with all the data details at your fingertips.

7. Can the records be divided into groups?

Yes, you can group your records by any data marker, and gathering the group is a speedy process. Users often group their records by connection type e.g. commercial, residential, municipal, and so on. However, users can also group them by service type - domestic irrigation, fire service, etc. Another common grouping method is protection type e.g. isolation/in-premise isolation or containment/premise isolation.

8. Can the software be used to schedule alternate activities?

Yes, every record has multiple activity scheduling fields such as surveys/inspections, assembly installations, test due dates, etc. The scheduling fields can be used for anything you wish; all dates are on the main screen, easily seen and easily changed. Popup calendars are used to make scheduling exceptionally quick.

9. Will the software generate reports?

Yes, over 50 report templates are built in and custom reports are easily created. Tokay report capabilities include a seamless merge with Microsoft Excel.

10. Is the software completely automated?

Tokay Software is as automated as appropriate. Software that is automated just for the sake of automation can have a cost to the user, because each task that is automated takes program control from the user and gives it to the computer. We consider actual time saved versus the user loss of control before we automated any task. Over the last two decades, we have converted many users' software programs to Tokay and many of the data snarls we have seen are the result of too much automation. A few of the activities that are automated are:

  • Assembly test scheduling,
  • Survey/inspection scheduling,
  • Mailing address changes,
  • Letter history,
  • Test report history,
  • User assigned default data entry fields, and
  • First, second and third cross-connection control notices are automatically generated based on one test due date
11. What is the best way to plan for the future?

In our experience, the best way to keep your backflow program on track is to keep your addresses current. Our optional link your water customer database ensures that all of your addresses stay current, and that all new water connections are represented in the backflow records. The update link keeps the backflow records current electronically with little effort.

12. Can data be exported to GIS (Geographic Information System) Applications?

Yes, Tokay Software is setup to work with many GIS programs and other mapping software applications. This built-in link eliminates the need to export cross-connection control data.

13. Can pictures be loaded into the software?

Yes, the user can easily attach digital images from a camera, scanner and PDF documents. The digital image module is included in the software and is free of charge, and because the module is built-in there, will never be an upgrade fee.

14. What does Tokay offer for support?

We are extremely proud of our support track record. Our support is live, courteous, consistent and successful. We support all users equally, and we do not require a contact person nor do we require our users be Windows proficient. Our expertise allows us to support our software and assist with both hardware and printer issues. User support is available sixty hours a week, from 8 o'clock am East Coast Time through 5 o'clock pm West Coast Time. Our user support includes unlimited toll-free phone training sessions, which are especially helpful for new users and equally appropriate for experienced users who would like help analyzing and cleaning their databases.

15. How often is the software updated?

We add new features to the software on a monthly basis. Those features are available to all users with a current user support agreement. Downloads are easy. If you are currently a Tokay user please call us for a password to access and download your software update.
